Parent and guardian guide
TryoutScout is the app your club uses for tryouts, team schedules, messages and player development plans. Here is what you'll see and what you can do. Everything is optional unless your club says otherwise.
Tryouts
How does tryout registration work?
Your club shares a registration link. You don't need an account to fill it out.
- The form asks for your child's name, date of birth, gender and position.
- It also asks for your contact details, and optionally a second parent or guardian and an emergency contact.
- You give consents for the tryout (parental consent, data use, and a risk-of-injury waiver).
- Some clubs ask for documents such as a player photo or birth certificate. You can upload them from the confirmation screen or later from your account.
What happens on tryout day?
A club volunteer checks your child in at the table using their date of birth. Coaches watch and evaluate. Any decision about teams comes from the club afterward.
How do I answer a roster offer?
- Open the link in the offer email.
- Sign in.
- Select Accept Offer or decline. The club sees your answer.
- If you land on your dashboard after signing in, open the link in the email again.
- If you can't respond, contact the club directly.
Your account
How do I set up my account?
When the club approves your child, you get an email from TryoutScout with a link. Choose a password and you are in.
- Your menu has Dashboard, IDP Evaluations, Calendar, Season Stats, Team Chat, Coach Messages and My Profile.
- If you have more than one child at the club, switch between them at the top of the Dashboard.
Where are documents and agreements?
On the Dashboard. Select Upload or Replace for a document, and Review & Sign for an agreement. Documents are seen only by club directors and your child's own parents and guardians.
Can another parent or guardian have access?
Yes. Your club director can link another parent or guardian to your child. They get their own sign-in and see the same information you do.
Your child's development plan (IDP)
What is an IDP?
An IDP is a plan your child's coach writes each season. Each row is rated Strength, Improving or Opportunity. These are development ratings, not grades. The coach also writes a short summary: strengths, an opportunity and an action plan.
- You see the coach's ratings and summary once the plan is published.
- Published plans stay in your child's history, so you can see progress over time.
How does the family self-assessment work?
When the coach releases the IDP to your family, you'll see Self-assessment open on it. You can fill it in together with your child.
- Open IDP Evaluations and open the plan.
- Talk through each row with your child and tap Strength, Improving or Opportunity.
- Select Submit Self-Assessment.
- The badge then shows Submitted · coach reviewing in amber.
- The coach uses your family's ratings as a reference before your meeting.
- If your child is 14 or older with their own login, they fill in their own.
How do I book the IDP meeting?
Every player has a 15-minute meeting with the coach before the plan is published, in person or by video call.
- Open the plan in IDP Evaluations.
- Under Book your IDP meeting, pick a time.
- To move it, select Change time. To free it for another family, select Give back this time.
- If no times are listed yet, they'll appear once the coach posts them.
When do I see the full plan?
After the meeting, the coach publishes the plan and the badge turns green. You then see the coach's ratings, the summary and the action plan.
Calendar
How do I add the schedule to my phone?
- Open Calendar.
- Under Subscribe to Team Calendar, select Generate Subscribe Link.
- Follow the steps on the page for Google Calendar, Apple Calendar or Outlook.
- Changes the coach makes show up on your phone on their own.
How do I let the coach know about an absence?
Some events ask for a response. Select Can't make it and add a short reason. The coach sees it right away.
Messages and announcements
Who is in each chat?
- Team Chat → Team: the coaches, players 14+ with their own account, and parents. You can read everything in it.
- Team Chat → Parents & Guardians: coaches and parents of the team.
- Coach Messages: a thread between your family and your child's coaches. All of your child's guardians are in it, and club directors can read it.
Why does a chat say someone is off?
Some clubs set hours when families can read but not post. Coaches may also have quiet hours, and you'll see a short notice with when they'll be back and who to call in an emergency.
Can I mute a chat or report a message?
Yes, from the chat menu. Reports go to the club director.
Where are club announcements?
In the app and the notification bell. You see posts sent to everyone and posts sent to parents.
Players 14 and older
Can my child have their own account?
From age 14, once they play at U15 or older, and only if you choose to set it up. When your child is eligible, their card on your Dashboard shows the option.
- On the Dashboard, find your child's card.
- Enter their email.
- Tick the box confirming you are their parent or guardian and approve the account.
- Send the invite, or copy the invite link and give it to them yourself.
- You keep full access. You can read their Team chat, reflection answers and self-ratings.
Can I pause my child's account?
Yes. On the same card, select the option to turn off their account. Your child can't sign in, and everything comes to you instead. Nothing is deleted, and you can turn it back on later.
Privacy
Who sees my child's information?
- Club directors, your child's coaches, and your child's parents and guardians. A 14+ player sees their own information.
- Players are never in a private chat with an adult.
- Files open only for signed-in people who are allowed to see them.
- When a coach uses AI to draft an assessment, player names are replaced before anything is sent.
- TryoutScout doesn't sell personal information.
