Short answers to "How do I…?" Each task takes a few taps. On a phone, open the menu with the ☰ button at the top. Your club sets the pace, not TryoutScout.
Getting started
How do I accept my invite?
Open the email from your club and follow the link. Set a password, and you are in. If you already have an account with the same club, the email asks you to sign in instead.
How do I set quiet hours?
Quiet hours protect your evenings.
- Open My Profile.
- Select Turn on quiet hours.
- Pick a start and end time (for example 9:00 PM to 7:00 AM) and the days.
- Add an emergency note if you like, such as the club's phone number.
- During quiet hours you don't get chat notifications. Families see a short notice that you're off and when you'll be back.
- For a one-off night, use Pause notifications.
- You can also turn on a daily summary email of unread messages in the same place.
Roster
How do I see my roster?
Open Roster. If you coach more than one team, pick the team at the top.
How do I set a player's position or jersey number?
On Roster, tap the position or jersey field next to the player. For U13 and older, the position decides which position-specific IDP the player gets.
A parent is missing from a player. What do I do?
Ask your director to link the parent to the player. Once linked, the parent sees the team's schedule, chat and the player's IDP.
How do I add a guest player?
- On Roster, search for the player.
- Choose a reason: Injury cover, Playing up, Tournament shortage or Other.
- Add them.
Attendance
How do I take attendance?
- Open Attendance.
- Under Select Event, choose the practice or game. Check that the date is the one you mean.
- Everyone starts as Present. Tap a player to mark them absent or excused.
- It saves on its own.
Calendar and game day
How do I add a practice or game?
- Open Calendar and select Add Team Event.
- Pick the type, date, time and location (or a saved facility).
- If you like, repeat it weekly, set an arrive-before time, or ask for RSVPs.
- Choose whether to notify the team, then save.
- If you coach more than one team, All my teams shows them together in different colors.
- When you edit a repeating event, choose this event only or this and all future events.
How do families put our schedule on their phone?
Each team has a Subscribe to Team Calendar link. Families set it up from their own Calendar page, and it updates when you change the schedule.
How do I set a lineup?
- Open Game Day and select New Lineup.
- Use Load from Calendar to fill in the match details.
- Pick a formation and set starters and substitutes.
- Record the result afterward.
IDPs and meetings
What is an IDP?
An IDP (Individual Development Plan) has rows grouped in sections such as Ball Mastery, Tactical Understanding, Mental and Physical. Each row is rated Strength, Improving or Opportunity. These are development ratings, not grades.
- The cycle: you rate, release, the family (or a 14+ player) self-assesses, you meet, you publish.
- IDPs are part of the Coach and Develop plans.
How do I start a cycle?
- Open IDP Evaluations.
- Check Roster positions first. U13+ players without a primary position get the Forward template.
- Select + New Cycle.
- Choose the cycle type, pick a due date, and choose the players.
- Each player gets their own IDP. Rows your director added show a Club tag.
How do I rate a player?
- Open IDP Evaluations, choose the cycle, and tap a player.
- Tap Strength, Improving or Opportunity on each row.
- Ratings save as you tap. A few players a week is fine.
- Families don't see your ratings until you publish.
How do I release an IDP?
- Open the player's IDP.
- Select Release to Athlete (players 14+ with their own login) or Release to family (everyone else).
- The family fills in the self-assessment together with their child. A 14+ player with a login does their own.
- You get a notice when it's in. The status badge turns amber.
How do I use the self-assessment?
Use it as a reference before the meeting.
- Open the IDP. The Gaps dots at the top show where your ratings and theirs agree (green) or differ (amber, red).
- Fill in the Coach Assessment: Strengths, Opportunity and Action Plan. Treat these as your talking points for the meeting.
- ✦ Suggest with AI drafts the assessment from your ratings. It replaces what is already in the boxes, so use it before you write. You can edit everything. Player names are replaced before anything goes to the AI.
How do I post meeting times?
Every player has a 15-minute IDP meeting before publish, in person or by video call.
- Open IDP Evaluations and select Meetings.
- Select + New Session.
- Pick a date, start time and number of 15-minute slots.
- Choose the type. Add a location for in person, or a join link (for example Zoom) for a video call.
- Save. Families book a time from their IDP page.
- You can also assign a family to a slot yourself from the session page.
How do I record the meeting?
- Open Meetings and open the session.
- Next to the player, select Complete, No-show or Family declined.
- Any of the three lets you publish.
How do I publish an IDP?
- Open the IDP.
- Select Publish IDP.
- If some rows are unrated, you see Publish with gaps? and can choose Publish anyway.
- If a family hasn't sent their self-assessment by the due date, you can publish without it.
- Once published, the family reads the full plan and it joins the player's history. The badge turns green.
How do I add a row for my team or one player?
Use this for something your team works on that the standard IDP doesn't cover.
- On IDP Evaluations, select Add focus row.
- Choose the whole team or one player.
- Pick a section, name the row, and add a short description if you like.
- Select Add row.
- Your rows show a Coach tag. You can remove a row you added until it has ratings.
- A team row is one more row to rate on every IDP in the cycle.
Team reflections
How do I send a reflection?
- Open Team Reflections.
- Choose the whole team or selected athletes, and the session type.
- Enter a What Went Well prompt and an Even Better If prompt. Add a due date if you like.
- Select Send Reflection.
- Only players 14+ with their own account receive reflections. Their parents and club staff can read the answers.
Team chat
How do I message my team?
Open Team Chat. Each team has:
- Team: you, players with their own account, and their parents.
- Parents & Guardians: you and the parents.
- Coaches: one thread per family, between that family's guardians and the team's coaches. Directors can read these.
- There are no private one-to-one chats between adults and players.
What else can I do in chat?
- In Chat settings, choose who can post in each channel, for example announcement-only.
- Post a quick poll.
- Mute a chat for a while from its menu.
- Pause one member's posting if a thread needs a break.
- Report a message. A director reviews it.
Coach coverage
How do I ask another coach to cover?
- Open Calendar and open the event.
- Select Request coverage.
- Choose head coach for the day or extra adult, and who to ask.
- Add a short note (formation, who's in goal, where the balls are). Don't include medical or family details.
- Send the request.
- Coverage in the menu shows open requests you can take, and the ones you asked for.
- When someone accepts, the team's families are told who is covering.
- Requests go to coaches your director marked Head coach.
Tryouts
How do I enter tryout scores?
Tryouts are for watching players. Take notes on paper or your club's score sheet, then enter scores afterward.
- Open Tryouts and open the session.
- Search by name or tryout number.
- Tap a player and set Above / At / Below for Technical, Tactical, Physical and Mental. Add a position, a team level and notes.
- Select Save before you close the window.
How do picks work when teams share an age group?
The 1st-team coach makes picks, then selects Signal Ready to pass to the 2nd team, and so on. Your director sends the offers.
